WhatsApp inbox
Included in the Pro plan
Receipts sent from your own number invite replies, and those replies are where complaints, corrections and repeat orders actually happen. The inbox makes that a shared workflow rather than one manager’s phone.
Conversations with order context
A reply arrives attached to the order it followed, so whoever picks it up can see what the diner ordered, what they paid and when — without asking them to repeat it.
Shared, not personal
The thread lives in the console, so it survives a staff member leaving and does not depend on somebody unlocking their own phone.
Campaigns are separate and consented
Marketing campaigns are a distinct feature with their own consent handling. Meta treats utility and marketing messages differently, and conflating them is how businesses lose template approval.
Why replies need a home
Receipts sent from your own number invite replies, and those replies are disproportionately valuable — a complaint you can still fix, a correction on a delivery address, a repeat order.
If they land on one manager’s personal phone, they are invisible to everyone else, unanswerable when that person is off, and gone when they leave.
The 24-hour window
Once a customer messages you, WhatsApp opens a 24-hour window in which you can reply freely without a template. Outside it, only approved templates can be sent.
The inbox shows which conversations are inside that window, which is the difference between a reply that sends and one that silently fails.
Keeping utility and marketing separate
Utility templates cover messages about an order the customer placed. Marketing templates need separate consent and carry different pricing.
Blurring the two is the most common way businesses lose template approval with Meta, so campaigns are a deliberately separate feature rather than a checkbox on the inbox.
Assigning and closing conversations
A shared inbox only works if it is clear who is dealing with what. Conversations can be picked up and closed, so two people do not answer the same complaint differently within a minute of each other.
Closed threads stay searchable against the customer, which matters when the same person calls back a week later about the same order.
What arrives here, and what does not
Replies to receipts and to campaign messages land in the inbox. Orders placed through the storefront do not — they go to the online-orders board, because a queue of orders and a queue of conversations are different jobs with different urgency.
Keeping them separate is deliberate: mixing them produces an inbox nobody can triage during a rush.
Using it as a service record
Over time the inbox becomes the record of every complaint, correction and special request a customer has made. That history is attached to the customer, so the next person to serve them is not starting from nothing.
For a restaurant that competes on knowing its regulars, that record is worth more than any individual message in it.
